Customers

Searching for Customers

After Customer data has been imported you can view Customer information from the Customers tab.

  • Select a field and condition to search, enter a search term and click Go
  • Click Clear to clear the search results and show all customers in the database
Viewing and Editing Customers

You can use View/Edit to view the information for a customer in CatalogueLINK Upload.

  • Select the customer you wish to view
  • Click the View/Edit button to view the customers’ information
Upload Financials

When the Upload Financials function is enabled for a customer, any special pricing and invoices for that customer are imported from the accounting system and uploaded to the website

Note: In order for the special price to appear for a customer on the website the Buyer Reference field data in CatalogueLINK Upload must match the Seller Reference field in Organisations and Buyers in the Control Panel

Admin Email

This email address that is set against the customer in the accounting system.

The updated email address should then come through to the ‘Admin Email’ field.

Ignoring Customers

It is possible to ignore customers using CatalogueLINK Upload, but it is not recommended.

Note: If a customer is ignored from the accounting system it will be removed from CatalogueLINK Upload and cannot be restored.

The Action Field

The data contained in the Action field determines how data will interact with the website during the upload process.

  • New: Items or Customers with the Action of New have been imported from accounting system, but have never been uploaded to the website catalogue
    • When performing an upload all items with an Action of New will be uploaded, upon completion of the upload their action should change to None
  • Modifying: Items or Customers with the Action of Modifying have been modified within CatalogueLINK Upload
    • Modifications to item data can only occur either through direct editing or via an import from the accounting system
    • If any items appear with the Modifying Action field, the current website catalogue version requires updating
    • When performing an upload all items with an Action of Modifying will be uploaded, upon completion of the upload their Action should change to None
  • Ignored: Items or Customers with the Action ‘Ignored’ will not be uploaded to the website catalogue.
  • None: Items or Customers with the Action ‘None’ are not new to the catalogue or have been modified since the last import.
    • If an item with an Action of None is modified, the Action will be changed to Modifying

Settings

Invoice Settings

If invoicing is included with your CatalogueLINK accounting system integration then you will need to configure the invoicing settings for it to be enabled.

Note: Invoice import is not available for all accounting systems and Invoice data will only be imported if a customer has the Upload Financials option set.

Customer Settings

All future customers require special pricing and invoice data to be uploaded.

  • Click the Setup menu and select Customer Settings
  • Check the field for Upload Financials
  • Click Save
  • Click Close
