Editing Items Using Excel

CatalogueLINK Upload can export item data into an Excel spreadsheet for editing.

Once editing is complete the modified spreadsheet can be imported back into CatalogueLINK Upload which will update items with any changes that were made.

This may be useful when you need to manipulate many types of data at once.

Export All Items

This option will export all items contained in the CatalogueLINK database to an Excel file.

  • This may take some time based on how many products you have.
  • Click the ’Excel’ button located on the ’Items’ tab.
  • Select ’Export All Catalogue Items to Excel’ and click ‘Go’.
  • Save the Excel file to an accessible location.
Export Filtered Items

This option allows you to filter the item data that will be exported to Excel.

  • Click the ’Excel’ button located on the ’Items’ tab.
  • Click ’Export Filtered Catalogue Items to Excel’.


Creating a filter is very similar to performing a search but with a few extra options.

  • Add Condition: This adds another selection row which allows you to further filter data.
  • Clear Criteria: Clicking this button will clear all filter criteria that has been set.
  • Refresh Grid: Clicking ’Refresh Grid’ after entering a filter criteria will update the grid view with item data based on the filters chosen.


This example will show you how to filter products based on criteria and export them into an Excel file:

  • Set the first dropdown to ’Item Name’ and the second dropdown to ’contains’.
  • Enter ’Dish’ into the text box and press ’Refresh Grid’ to update the grid.

  • Click the ’Export to Excel’ button
  • Save the Excel file to an accessible location.


Listed below are important guidelines for entering and editing data using the Excel Export:

  • Do not edit any field in the first two rows (1 and 2).
  • Do not enter new or edit existing item codes.
  • Do not edit any of the fields in the Action column.
  • Do not enter text that contains carriage returns in any field. All characters entered into the spreadsheet should be standard ASCII characters
  • Do not paste text into the spreadsheet from word processing applications (e.g. Microsoft Word). Only paste text into the spreadsheet from plain text editors (e.g. Notepad).
  • Only enter valid HTML into the ’Description’ and ’Special Instructions’ fields.

Importing Excel Spreadsheet

To apply the changes you have made against items, you must import the Excel spreadsheet into CatalogueLINK Upload.

  • Click the ’Excel’ button located on the item tab.
  • Select ’Import Catalogue Items from Excel’ and click ’Go’.
  • Browse to the Excel file.
  • Click ’Open’ to start the import process.

  • Upon completion of the import you will see a summary report. Please note any errors or failed rows.
  • Click ’Close’.
